Export as Template
To equip an existing application that is compatible with Word, PowerPoint or Excel templates with primedocs templates, primedocs templates can be exported for third-party systems. This produces a "normal" template file (.dotx, .potx or .xltx) stamped with a piece of meta information. When a user creates a document from it, primedocs automatically applies the current user profile, so that user and organization data is always up to date.
Prerequisites
- The export is triggered from the template editor in the desktop client (primedocs tab). The function is not available in primedocs Web.
- The template must be published.
- Only Word, PowerPoint and Excel templates are supported. Other template types (e.g. e-mail templates) cannot be exported this way.
- For the profile data to be refreshed when the exported file is opened, the primedocs Office add-in must be installed on the target system.
Exporting a template
- Open the template in the template editor in the desktop client.
- In the primedocs tab, choose the Export for external systems action.
- In the dialog, specify:
- Language – the language the template is exported in.
- Profile – the profile whose data is applied during export (default: the default profile).
- File location – target path and file name of the exported template file.
- Confirm the export. A template file in the format
.dotx(Word),.potx(PowerPoint) or.xltx(Excel) is produced.
Meta information and behaviour when opening
The exported file is stamped with a document property that marks it as "exported for third-party systems". The first time it is opened as a document (not as a template), the primedocs Office add-in detects this marker and automatically updates the document based on the profile currently selected in the client: profile and organization data, the color theme and the Office properties are re-applied. The marker is then removed, so the refresh happens only once — on first productive use.
Layout changes made in primedocs after the export do not automatically affect templates that have already been exported. A new export is required whenever the template changes.
